Job Description

The Assistant Manager - HR, Admin is responsible for managing daily operations across key HR and Administration functions, including Talent Acquisition, Learning & Development, Performance Management, Employee Engagement, and Hanoi Administration, while supporting the HR, Admin Manager in strengthening systems, standardizing and improving processes, and enhancing overall productivity, service quality, and operational effectiveness across the company.


1. Talent Acquisition

• Manage nationwide Talent Acquisition operations, including assigning, supervising, and guiding TA team to ensure hiring progress, selection quality, and candidate experience.

• Oversee the end-to-end recruitment process, monitor recruitment KPIs and manpower fulfillment status, and directly participate in final-round interviews for selected positions as assigned.

• Driving Employer Branding initiatives, talent pipeline development, and continuous recruitment process improvement to enhance overall hiring effectiveness.


2. Learning & Development

• Lead and enhance the company’s Learning & Development framework, programs, and practices to support business priorities and organizational capability building.

• Working closely with departments to identify development needs and implementing suitable learning solutions for employees, oversee training operations, annual training planning, learning records, and training effectiveness follow-up to ensure learning initiatives meet organizational and capability development needs.

• Partner with the Manager to strengthen talent development initiatives, continuously improve learning processes and practices, and build succession planning roadmaps for key positions across the company.


3. Performance Management

• Manage the operation of the company’s performance management process, including objective setting, review cycles, appraisal administration, and related communication.

• Support promotion, level-up, and other performance-related administrative processes in coordination with relevant departments.

• Work closely with the Manager to improve the overall performance management system, processes, and tools to strengthen governance, efficiency, and effectiveness across the company.


4. Employee Engagement

• Coordinate and implement employee engagement, internal communication, survey, and culture-building initiatives, while supporting follow-up actions to improve employee experience and workplace environment.


5. Administration Operations

• Manage daily administration operations in Hanoi office and other assigned offices, including office services, facilities, assets, supplies, vendor coordination, and employee administrative support.

• Supervise the Admin team to ensure service quality, cost efficiency, compliance, and smooth operational support.

• Review, standardize, and improve company-wide admin processes, policies, and workflows to strengthen efficiency, consistency, and internal control.


6. HR & Admin System Development / Governance

• Support the HR, Admin Manager in building, reviewing, and continuously improving company-wide HR and Admin systems, processes, policies, and frameworks.

• Contribute to cross-functional improvement initiatives to enhance operational effectiveness, employee experience, and organizational productivity.

• Manage team objectives and reporting for assigned functions, while ensuring compliance with company policies, internal controls, labor regulations, and other applicable requirements.

• Perform other tasks assigned by the Superior.

Requirements

Education and Experience

• Bachelor’s degree or higher in Human Resources or related field.

• At least 5 years of solid hands-on experience in HR and/or Administration, preferably in a multinational company.

• Experience in the logistics, forwarding, or service industry is an advantage.

Required Skills/Abilities:

• Strong operational management and execution capability.

• Good knowledge of HR/Admin processes, policies, and compliance requirements.

• Strong system thinking and process improvement capability.

• Good leadership, coaching, and team coordination skills.

• Strong analytical, problem-solving, and stakeholder management skills.

• Good communication and interpersonal skills in both English and Vietnamese.

• Proficiency in Microsoft Office and HR/Admin systems.


Working Conditions and Benefits:

• Working Place: TTC Building, No. 19, Duy Tan Street, Cau Giay Dist, Hanoi City

• Working time: Monday to Friday, from 8:00 AM to 5:35 PM

• Annual Leave: 12 days/year (after probation time)

• Net salary: Negotiable (13 months a year plus Tet bonus & Annual performance bonus)

• Annual Salary Increase once per year

• Performance Assessment: twice per year (fixed in April and October)

• Insurance: 24 hours’ Accident Insurance, 100% Social Insurance, Health Care Insurance

• WFH Policy: work from home up to 2 days per week after 6 months of employment
